Obviously, any event that involves Twilight Glamping is unique. Can you share a stand out?

“One of our favourite weddings was Caitlin and Damien’s Big Day Out festival wedding in Jan Juc (Victoria, Australia). It was set up like proper festival. All the guests had wrist bands to get in, they had merchandise stalls selling wedding memorabilia, and food stalls instead of a sit-down meal. And they had a glamping village, of course! It was such a cool set up, we wish we could have been there for the party.

We also created a glamping village for the Cotton On Group executive corporate day on a beautiful private farm. It ended up being one of the hottest days of the year (it’s no fun setting up when it’s 50 degrees inside the tents). They had lots of activities on during the day and luckily it cooled down by the evening. The executives loved it.”

Your bespoke village set ups are beautiful. How do you set up an event-worthy glamping site?

“Before a large event we try and do a site visit prior to the event so we know what to expect on the day. We then draw up a mud map of the site. We always make sure we have full vehicle access to the site. Our equipment is heavy so we don’t want to carry it too far. We have to take note of trees … roots above ground, potential boggy areas, and uneven ground. We always make sure we schedule in a proper lunch break, it’s very labour-intensive work so it’s important to have a rest, fuel up, and stay hydrated.

We like to set up a couple of days before an event to ensure we have plenty of time and so there’s no panic if something goes wrong. We prefer to take our time and get it right, rather than rush through a set up. Even with a mud map, we always end up having to change a few things around. You might come up against rock in the ground or unexpected debris. It’s important to be flexible and have a plan B. Weather is always a tricky one and if it’s raining that certainly slows things down a lot. We’ve been caught in torrential rain, wind, and hail before and if it’s bad you have to be patient, wait it out, and let it pass. If it’s not too bad we carry on while being careful to protect the interiors from the rain and mud – not an easy task!”

We love your beautiful styling and can’t think of a better way to finish a remote event than curling up in one of your tents. How do you pull off cosy, stylish tent living?

“Firstly, thank you very much. Funnily enough styling … didn’t come easy for me. I’ve always loved bohemian styled natural tones and textures, but I still spent god knows how many hours on Instagram and Pinterest collecting images and researching products … in the end you have so many options that you end up with decision fatigue. Using high quality, local suppliers where I can is really important to me … I’ve built up relationships with a small number of suppliers where I source my interiors from, which makes it much easier when purchasing.”

You’ve seen so many events. What advice can you share with people planning a wedding or event?

“Planning any event can be daunting. I would advise meeting with a few different vendors that you’re interested in and work with the ones that you have a great connection with and trust.

  • Get a diary or planner, make a list of everything that needs to be done, then prioritise and tackle each item.
  • Don’t spend too much time on Instagram or Pinterest. Do your research and once you’ve made a decision on an item, stop looking!
  • Check out directories for inspiration.
  • Let others around you help, I’m sure they want to.
  • If you have a budget, help from an event planner can be priceless.”

What trends are you seeing in glamping at the moment, Beth?

“The festival wedding theme is on trend right now. Many brides and grooms want a more relaxed affair for their big day and they love the idea of all their guests staying on one site. Many venues are excited to be offering Twilight Glamping as a means to expand on their existing accommodation options.”

What are the ingredients for the perfect glamp site?

“We’ve set up at so many different and beautiful locations that it’s easy to provide recommendations. The perfect glamp site would be a large, flat, grassy area with soft ground, no debris, and incredible views over interesting landscape or ocean. Sometimes we do come across the perfect glamp site, but more often than not the most spectacular sites come with challenges such as rocky ground, tree roots, fragile tree branches, or uneven ground and slopes. We just have to work with it on the day and be flexible.”

What types of occasions book a Twilight Glamping experience?

“Last season 50% of our clients were weddings, which is huge. We also had a few corporate events, milestone birthday celebrations, and lots of hen (bachelorette) parties. Private parties are big for us. This year we have lots of cool events booked in … an opera event, polo event, lots of weddings, and a huge New Year’s Eve party accommodating over 100 people.”

What inspired you to create Twilight Glamping?

“We got inspiration from our best friend’s wedding back in the UK. Glamping is huge in the UK and at this wedding we all glamped in Yurts, it was so much fun. I then realised that no one was offering glamping along the Great Ocean Road where there are so many beautiful locations right on our doorstep! It all started with 5 tents which we set up for guests along the Great Ocean Road. It was so popular that we grew quickly. We now have over 60 bell tents and travel Victoria-wide for events.”

Is glamping a solo business or do you have opportunities to collaborate with other talented vendors?

“For events, we work with vendors and suppliers that we love and trust to provide an outstanding service or product. We develop relationships with vendors over time and it’s only after we’ve experienced their product or service, or received feedback from our guests, that we recommend certain vendors. It’s great being part of a community of other businesses that support each other. We’ve become great friends with many of the vendors we work with.”

What makes your tent selection perfect for glamping?

“We have a large fleet of bell tents consisting of 4 meter bell tents (perfect for couples), 5 meter bell tents (perfect for couples wanting extra space, for groups, and for families) 6 meter emperor bell tents (perfect for groups, as a luxury bridal suite, or communal lounge tent), and finally we have a small number of 5 meter Tipi (tepee) tents which offer a bohemian luxe vibe. For big events, we provide the option to have a night manager and concierge stay onsite in a managers tent, otherwise we leave the guests to it and return for pack up.

We provide upgrades which include a kitchen package perfect for those who want to cook, a bar fridge package, wine and chocolate, personalised wooden plaques, and gourmet cheese grazing boards from our friends at Platter Co. We also provide dressing rooms, lounge spaces, and kid’s spaces.”

Yes, your platter options look delicious!

“We get our platters from Jade at Platter Co. She’s local and her platters are to die for – I’ve had many myself! I met Jade when our businesses were both new, we’ve been involved in many events together since and have a great relationship. Her platters are a hit with our guests.”

What if someone needs to go to the toilet in the night!?

“All of the campsites we set up at have bathrooms and the tents come with lanterns so you can see where you’re going. For events on private property our partners at Paddock Dreams supply awesome glamping toilets and showers, alternatively we can help hosts organise portable toilets and other facilities.”

Beth, what’s your personal favourite glamping location?

“That’s a hard one! Along the Great Ocean Road we love Cumberland River, it’s such a beautiful spot for a weekend getaway and you can hire the whole site for weddings. Austins & Co winery is also stunning.”

Beth and Lee are influencing more than just event accommodation in Australia, they’re changing the way we think about events like weddings, parties, and conferences.
